As an Executive Assistant, you will provide support to leaders within Human Resources, ensuring seamless coordination, thoughtful planning, and exceptional operational execution. You'll play a key role in helping our leaders focus on what matters most - shaping the employee experience across the firm.
This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and brings strong experience supporting HR leaders or working within an HR organization.
Key Responsibilities
- Serve as a trusted partner who anticipates needs, identifies challenges early, and proposes thoughtful solutions to keep work moving forward.
- Build positive relationships across HR and the broader organization while representing Schwab's values with care and professionalism.
- Manage complex calendars with sound judgment, ensuring senior leaders can balance strategic priorities and operational demands.
- Coordinate regular and ad hoc meetings, including conference room scheduling, technology needs, and logistics to ensure smooth execution.
- Partner with leaders and team members to schedule key gatherings, leadership offsites, and time sensitive discussions.
- Prepare polished, visually engaging materials using Excel, Word, and PowerPoint to support storytelling, decision-making, and leader engagement.
- Develop routine and specialized management reports that provide insight and drive effective business operations.
- Handle highly confidential information with discretion and professionalism.
- Provide consistent oversight and delivery of programs and ongoing initiatives that support the HR organization.
- Coordinate travel arrangements, including reservations, itinerary management, invoice processing, and expense reporting.

What you have
To ensure that we have fulfilled our promise of "challenging the status quo," this role has specific qualifications that successful candidates should have.
Required Qualifications:
- 7+ years of experience as an Executive Assistant, ideally within Human Resources or an HR-related function.
- Advanced proficiency in MS Office applications, including Word, Excel, PowerPoint and Outlook.
- Demonstrated project management skills with strong attention to detail and the ability to deliver high-quality work.
- Proven ability to build positive, trust-based relationships with employees at all levels, including senior leaders, external partners, vendors, and regulators as needed.
- Exceptional communication and interpersonal skills, with the ability to interact effectively across teams and levels of leadership.
- High level of integrity and professionalism, trusted to handle confidential and sensitive information with care.
- Highly adaptable to shifting business priorities.
