Job Description:Fidelity Insurance Agency (FIA) distributes annuity and life insurance products designed to meet the critical retirement needs of Fidelity clients. FIA Client Services delivers personal and convenient client experiences to our clients and contributes to the overall success of Fidelity. We are looking for a highly motivated, energetic & experienced individual to join our Client Services team as a Senior Executive Assistant.
The Purpose of Your Role
As a valuable member of the FIA Client Services leadership team, you are providing advanced associate engagement & administrative support to FIA Client Services, as well as key members of the FIA leadership team. Your goal is to create and foster an engaging, meaningful, and collaborative culture. Additionally, you will consistently provide a high level of administrative support in a customer, associate, and innovation obsessed environment. This is accomplished through strong communication, proactive and personal engagement and providing creative solutions to support FIA Client Services.

- Proven ability to contribute consistently and positively in a high-paced, dynamic work environment
- Excellent analytical, communication and interpersonal skills, with the ability to take initiative and build productive relationships
- Proven ability to coordinate and lead associate driven engagement programs across multiple sites and functions
- Able to maintain a high level of confidentiality
- At least 2-3 years of experience providing administrative support
- Ability to support multiple executives & teams simultaneously
- Demonstrated ability to design, evolve and lead administrative processes & procedures
- Advanced proficiency in Microsoft Office suite of products and eagerness to develop expertise in these programs
- Excellent written and grammatical skills
- Ability to learn new skills and adapt to new technology
- You are a self-starter with strong sense of ownership and involvement
- Your willingness to get involved with the work of the larger team
The Value You Deliver
- Lead (or co-lead) invaluable associate engagement programs including 1) FIA Associate Advocacy Council; 2) Fidelity Cares & volunteer events; 3) FIA Recognition Programs
- Support 100 FILI associates in Salt Lake City in all site-level responsibilities including coordinating and managing logistics such as space planning, conference room scheduling, obtaining computer/equipment support and office supplies
- Coordinate year-end PO process for multiple vendors
- Provide periodic budget, expense report, and travel management support for key members of the Client Services team
- Assist with project support and reporting as needed
- Perform scheduling, preparation for and administration of meetings including coordination of meeting facilities, distribution of meeting materials, and archival of meeting materials
- Coordinate group related activities, events and meals

Most roles at Fidelity are Hybrid, requiring associates to work onsite every other week (all business days, M-F) in a Fidelity office. This does not apply to Remote or fully Onsite roles.
