Description
Your OpportunityCharles Schwab Trust Bank provides trust, custody, trading, and technical services to retirement plan sponsors, advisors, and their agents. Within CSTB, the Cash Operations organization supports the movement of client funds by processing incoming and outgoing cash activity while ensuring compliance with regulatory, tax, and risk-management requirements.
The Distributions Team is responsible for executing payments and distributions, managing returned and rejected transactions, supporting OFAC requirements, handling incoming and outgoing mail, and completing special handling requests. We partner closely with internal teams and vendors, operate within multiple systems, and adhere to strict internal controls to mitigate financial and operational risk.
Our mission is to process high-volume cash activity accurately, timely, and in accordance with client instructions, while maintaining the highest standards of control and compliance.
What You Will Do:
As an Associate, Cash Operations, you will support the processing of retirement distributions and disbursements in accordance with client directives and IRS guidelines. You will also respond to inquiries from internal business partners related to transactions you process.
This is a fast-paced, detail-oriented, deadline-driven role that requires strong focus, accountability, and teamwork. Overtime may be required during peak production periods.
You will work within clearly defined procedures and contribute to a collaborative team environment by performing activities such as:
- Preparing labels for overnight mailings of checks and tax forms
- Entering transactions manually and/or completing system file loads
- Printing checks and tax forms; scanning and indexing supporting documents
- Generating, balancing, and transmitting files to internal and external vendors
- Facilitating wire funding and supporting ACH/wire reversals or recalls
- Processing stop payments on issued checks
- Stuffing, reviewing, and distributing outgoing mail
- Ensuring timely USPS pickups and overnight courier drop-offs
- Processing incoming, returned, and rejected mail items
- Supporting audit requests and completing required documentation
- Recording daily metrics and production data
- Securing and protecting Non-Public Information (NPI) at all times
- Completing basic research requests and other administrative or clerical tasks as needed

- Ability to work under pressure while meeting daily deadlines and service-level agreements
- Strong organizational and time-management skills, with the ability to prioritize tasks
- Clear, professional written and verbal communication skills
- Ability to monitor and manage work from shared or functional mailboxes
- Comfort working in a high-volume, fast-paced, team-based environment
- Advanced knowledge of Microsoft Office applications (Excel, Outlook, Word)
- Flexibility to shift priorities to meet changing operational needs
- Willingness to learn new processes, systems, and regulations
- Commitment to contributing to a positive, engaged, and inclusive team environment
Retirement industry or tax experience is a plus, but not required.

Physical Requirements:
Work is primarily sedentary. This role requires daily in-office presence and includes handling physical mail and checks, opening returned mail, and sorting documents.
